Executive Administrative Assistant

Established in 1987, the Transformation Center, operating under the name Kiva Centers, is an entirely peer-run organization, meaning every person identifies as having their own lived experience with mental health, trauma, and/or substance use recovery. This personal experience forms the basis for our community programming, advocacy, and systems change. At the core of our mission is the unwavering commitment to transform policies and practices within communities and systems. We operate as an ecosystem of programs and supports, addressing the multifaceted needs of behavioral health, substance use recovery, and trauma healing in local communities. Our programs encompass trauma-informed training, workforce development, technical assistance, direct peer support, crisis support, networking, and relief aid. For the past fifteen years, we have played a pivotal role in the healthcare system by training and certifying all Certified Peer Specialists in the Commonwealth of Massachusetts. We also operate three peer-run respites, a 24/7 crisis alternative to prevent psychiatric hospitalization. Nestled in Worcester, MA, our vibrant Recovery Learning Community serves as a nexus for individuals from all walks of life to engage in peer support. Here, we address a spectrum of issues, from breaking the cycle of intergenerational trauma to exploring art and navigating challenges faced by grandparents raising grandchildren.

Position Summary
As an Executive Administrative Assistant at Kiva Centers, you will play a crucial role in supporting the executive team and ensuring the smooth operation of the organization. This full-time position reports directly to our Executive Director. The ideal candidate will be highly organized, detail-oriented, and possess excellent communication skills. This position offers an opportunity to contribute to a mission-driven organization focused on making a positive impact around health equity, trauma healing, recovery supports, and mental health policy and practice in our community.

This role has a steep learning curve in the first 90 days. During this initial phase, we expect a candidate to get a better understanding of our multi-faceted programming, advocacy, stakeholders and landscape of the wider behavioral health services across the state and nationally. We are seeking a candidate who excels at working independently, demonstrating the ability to navigate complex tasks and projects with minimal supervision. Initiative, resourcefulness, and a proactive approach will be key attributes in thriving during this learning-intensive period.

We recognize the importance of work-life balance. After the initial 90-day period, the organization is open to considering a hybrid work arrangement, providing a flexible balance between in-office and remote work.

Key Responsibilities

  Administrative Support:
    –
Provide comprehensive administrative support to the executive team, including managing calendars, scheduling meetings, and
      handling  correspondence.
   –
Coordinate and organize internal and external meetings, conferences, and events.
   –
Generate reports and attend any contract meetings with stakeholders

  Communication:
   –
Draft and edit internal and external communications, including emails, memos, and reports.
   – Serve as a liaison between the executive team and other staff members, ensuring effective communication within the organization.
   – Act as a confidant to the Executive Director and contribute to creative operational strategies

Document Management:  
   –
Maintain and organize electronic and physical files, ensuring accessibility and confidentiality of sensitive information.
   –
Prepare and distribute meeting agendas, minutes, and other relevant documents.

Travel Coordination:  
   – Arrange travel logistics for executives, including transportation, accommodations, and itinerary planning.

Event Coordination:
   – Assist in the planning and execution of fundraising events, workshops, conferences and community engagement activities.

Qualifications:
   – Proven experience as an administrative assistant or in a similar role.
   – Excellent organizational and multitasking abilities.
   – Strong written and verbal communication skills.
   –  Proficiency in MS Office Suite, Excel and other relevant software.
   – Knowledge of non-profit operations and a passion for advocacy.
   – Knowledge of Diversity, Equity and Inclusion principles
   – Ability to handle confidential information with discretion.

Education and Experience:
   – High School Diploma or GED required. We prioritize experience, willingness to learn and independent motivation over a degree.   
     However, a Bachelor’s degree in business administration, nonprofit management, sociology, or a related field is a plus.
